As business analysts improving business processes, it’s not uncommon to encounter stakeholders with a deep-rooted suspicion of IT and the belief that no matter what, the solution is not going to work for them.

So what do you do? In today’s video, Laura Brandenburg shares 5 ways to help difficult stakeholders on the path to change. 🎥

💡5 Strategies to Engage Resistant Stakeholders💡

1. Build an Individual Relationship

Invest time in building a 1:1 relationship with the stakeholder. Show genuine interest in them as individuals, not just project participants. Building trust and understanding outside the project context can pave the way for deeper, more productive conversations.

2. Understand Their Current Business Process

Take time to understand their current processes. Why do they prefer their existing methods? Understanding their workflow and pain points without trying to change them immediately builds trust and ensures the new solution meets their needs.

3. Focus on Their Problems


Identify and address their frustrations. Engage them by solving problems they care about, even if it requires adjusting the project scope. This approach can turn resistance into support as they see tangible benefits from the new solution.

4. Share Wins


As the project progresses, share success stories. Highlight how others are benefiting from the new system. Positive examples can encourage hesitant stakeholders to give the new solution a try.

5. Secure Higher-Level Support


Sometimes, higher-level support is necessary. Escalate the issue to directors or VPs if needed. Higher-level stakeholders can leverage their authority to ensure compliance, emphasizing the importance of the project’s success for the organization.

Not All Resistant Stakeholders Will Change

It’s important to recognize that not every stakeholder will embrace change. Some may choose to leave rather than adapt, and that’s okay. As business analysts, our role is to facilitate change and support stakeholders, but we can’t force anyone to change.

By employing these strategies, you can effectively engage resistant stakeholders and help them see the value of new technologies and processes.

If you analyze your experience, you will notice that the most commonly used method of identifying requirements is an interview 🎙
Then ask yourself, have you used it effectively? Did it satisfy your needs in those cases?

Today's post is dedicated to 📝 5 Common Mistakes When Using the Interview Technique for Requirements Elicitation 📝

1. Not Enough Preparation
Interviews may seem simple, leading to underestimated preparation. Often, BAs outline basic topics and rush to meet stakeholders without thoroughly reviewing project documentation or understanding the stakeholder's role. This results in missed key questions and incomplete information.

2. Asking the Wrong Questions
Lack of preparation often leads to broad, irrelevant questions. Over-preparing can also result in a list of closed-ended questions that don’t delve into details. Both approaches can lead to incomplete information and misunderstanding stakeholder needs.

3. Ineffective Use of Stakeholder Time

Interviews can drift off-topic, wasting valuable stakeholder time. Overrunning or poorly managed meetings can cause stakeholders to lose focus and disengage, leading to missed insights and requirements.

4. Poor Documentation of Interview Results
Failing to accurately document interview findings can lead to incomplete or ambiguous requirements. Notes taken on paper or whiteboards can be forgotten or overlooked.

5. No Follow-Up
Follow-up is essential for validating requirements, clarifying ambiguities, and getting feedback. Without it, issues remain unresolved, and stakeholder buy-in may be lacking, missing opportunities to refine and improve the requirements.

And the most important - review your work and be open for feedback and improvement no matter how many years of experience you have.

There is another definition of constraint, by Karl Wiegers in Software Requirements: constraint is a restriction that is imposed on the choices available to the developer for the design and construction of a product.

What is TOC


The Theory of Constraints (TOC) is a management philosophy developed by Eliyahu Goldratt that focuses on identifying and improving the bottleneck in a system. The underlying principle of TOC is that any system has a limiting factor that constrains its output and profitability. The entire system can be enhanced by identifying and improving the bottleneck.
The TOC approach is rooted in the idea that businesses should maximize their throughput or the rate at which they generate revenue rather than focusing solely on reducing costs.
